Utility, productivity, fintech, and consumer apps get reviews that double as a support queue, bug tracker, and market research channel. This guide covers the parts of AppReply that app teams — as opposed to game studios — lean on most: grounding replies in real product knowledge, routing the reviews that need a human into your existing support tools, and keeping every reply on-brand across languages and platforms.
If you’re new to AppReply, start with the Quickstart to connect your first app and send your first reply. This page picks up from there with the workflows that matter most for app (not game) teams.

Ground replies in what your app actually does

Star ratings and free-text reviews rarely explain themselves — “won’t sync,” “keeps crashing on checkout,” “where did the export button go.” Generic AI replies to that kind of review sound like a form letter. AppReply’s knowledge base lets you upload support docs, FAQs, and product guides (or point it at a URL that gets periodically re-crawled) so the AI grounds every generated reply in what your app actually does, not a guess.
A knowledge base document open, showing its chunked and embedded content
Each source is chunked and embedded so the reply generator can pull in the relevant paragraph — the account-deletion policy, the current pricing tiers, the known-issue list — instead of hallucinating an answer. Combine this with an AI instructions set (a reusable prompt describing tone and constraints) and a Voice & style profile, and both manual and automated replies stay consistent with how your team actually talks to users.

Route the reviews that need a human

Not every 1-star review is something AI should resolve on its own — a billing dispute or a bug report often needs a real support conversation. AppReply connects to Zendesk and Intercom so a review can become a support ticket (or Intercom conversation) without leaving the dashboard.
Integrations hub: connected apps, helpdesk connections, escalation rules, and alert destinations
You can create a ticket from any individual review with one click — its priority defaults from the review’s star rating. Or set up an escalation rule so matching reviews (anything mentioning “refund” or “can’t log in” at 1–2 stars, say) create a ticket automatically. This is one-way triage: AppReply hands the conversation to your helpdesk, it doesn’t pull tickets back in. Escalation rules are a Pro-plan feature.

Keep replies accurate as your team scales

As more people reply — support agents, community managers, whoever’s on call — it gets harder to know whether every reply still matches your brand voice and actually answers the question. Reply quality grades every published reply against a scorecard you define (accuracy, tone, no invented facts, required sign-off text, and more) and surfaces the ones that failed a check in a Flagged queue you can triage in a few minutes a day.
A scorecard's Results tab: replies graded, pass rate, median score, and how many were flagged, above a per-criterion breakdown
This matters more for app teams than it might for a smaller team replying by hand to everything: once AI or a support agent is replying at volume, a scorecard is how you catch drift — a reply that promises a refund policy you don’t have, or one that mixes languages — before it becomes a pattern. Reply quality is available on the Pro and Ultimate plans.

Localize without losing your voice

App teams with a global install base deal with reviews in dozens of languages. AppReply auto-detects the review’s language, can auto-translate it for you to read, and generates or rephrases replies in the reviewer’s own language — with per-language overrides for your AI-disclosure text where stores require one (the disclosure phrase itself is capped at 150 characters, short enough to leave room for a full reply within Google Play’s 350-character limit).
